Using PeopleSoft Financials to Process 1042-S Forms

... o withholding. The majority of these individuals are paid by the state’s public universities, which each have their own finance systems separate from the state’s central PeopleSoft systems. For years, since PeopleSoft Financials does not deliver functionality to produce 1042-S forms, the universities submitted paper records to the central state accounting office and these were entered into an Access database which generated the IRS forms. In 2022 Kansas set a goal to find a way to bring the process inside of PeopleSoft and to eliminate the Access database. The delivered supplier and withholding tables were used to capture the necessary data elements while 1 custom process was built to produce a file in the IRS electronic format. The same file was used to generate the printable forms for mailing.
